We’re seeking a capable, values-aligned Executive Officer with prior experience - either in a similar role or a strong strategic support role (e.g. Executive Assistant or Operations Support), who’s ready to take the next step in their career. You don’t need decades of experience, but you must be confident working with senior leaders, coordinating cross-functional projects, and thriving in dynamic, purpose-driven environments.
The role blends executive-level support (executive assistant style work), and more complex responsibilities such as funding and stakeholder support, governance coordination, and project leadership, ideal for someone who thrives in dynamic, mission-driven environments and brings clarity, initiative, and influence to complex work.

What You’ll Do
This is a dynamic role providing high-level executive support, project coordination, and stakeholder engagement. You’ll need to be strategic, efficient, and an excellent communicator - someone who can move seamlessly between the big picture and the small details.
Executive and Strategic Support
- Serve as a trusted advisor to the CEO, offering input across various initiatives
- Draft high-quality documents, including internal communications, external reports, and presentations
- Manage the CEO’s calendar, travel, and engagements to ensure focus on key priorities
- Oversee and manage the CEO’s inbox, drafting and coordinating responses to ensure effective communication
- Support the Executive team on high-priority tasks, decision-making processes, and strategic planning activities
- Coordinate key meetings: set agendas, take minutes, and track follow-ups
- Communicate on behalf of the CEO and Executive Team
Fundraising, Funder & Stakeholder Relations
- Assist in drafting and preparing compelling grant applications, acquittals, reports, and communications
- Research prospective funders and manage a strategic grants portal/calendar
- Support funder stewardship: tracking engagement, preparing briefs, and managing correspondence
- Coordinate and design the Annual Report of TYIF to provide clear messaging to our stakeholders and funders.
- Maintain CRM and funder records accurately
- Assist in developing stakeholder newsletters and funder updates
Governance & Compliance
- Coordinate Board and committee meetings: agendas, draft papers, minutes, and logistics (this will require out of hours meetings from time to time).
- Maintain governance records and ensure compliance with relevant regulatory bodies, including the ACNC, ASIC, and ATO.
- Support the Board’s administrative needs and ensure clear documentation of resolutions
Project Coordination
- Work with internal and external stakeholders to deliver cross-functional projects
- Act as a project coordinator on strategic initiatives and internal projects of importance to the CEO and executive team
- Track and report progress on operational and strategic goals / KPIs
- Research and prepare strategic reports, and briefings on issues related to funding, planning, and operations
Events & Engagement
- Coordinate stakeholder events, funder briefings, and strategic planning days
- Work closely with the CEO and Executive Team to plan run sheets, coordinate guest lists, and logistics
- Liase with stakeholders to ensure smooth event delivery
- Prepare communications, briefing notes, and follow-up materials to ensure smooth delivery
About You
You are a people-first professional with sharp judgment, strong communication skills, and a natural sense of initiative. You’ve likely supported a senior leader before and are now looking to leverage that experience in a more impactful setting.
Our ideal candidate would have:
- Prior experience as an Executive Officer, Executive Assistant, or in a high-level coordination/support role
- Strong written communication skills and confidence drafting on behalf of others
- Experience coordinating meetings, calendars, stakeholders, and projects
- Experience with grants, applying for grants or with charitable funders
- Familiarity with boards, governance processes, and NFP compliance
- Working knowledge of Canva and PowerPoint for presentations and documents
- Strong organisational skills with the ability to manage competing priorities
- A growth mindset, high emotional intelligence, and a sense of purpose aligned with youth wellbeing
