The Opportunity
A core tenet of the Pillars strategy is resource mobilization. Through pooled funding and philanthropic advocacy, we mobilize resources to support leaders and organizations working in and alongside Muslim communities, ensuring long-term sustainability and impact across civic and creative sectors.
Pillars serves as a bridge between donors and institutional funders and the Muslim organizations and leaders that present opportunities for financial support. Giving to Pillars allows donors to have an outsized effect on multiple issues relevant to Muslim communities in the U.S., something that cannot be achieved through individual gifts alone.
Our donor community is largely composed of two groups: Trustees (individuals and families who support our work with meaningful annual gifts) and institutional funders (foundations who support our work with grants. Both stakeholder groups are critical to achieving our mission and our future growth and sustainability.
Pillars Fund seeks an exceptional Operations Manager with an entrepreneurial spirit, strong project management skills, and passion for world-class events who is eager to support our leadership team in building and enhancing our donor-facing operations work. They will be joining Pillars as part of a dynamic team to develop and maintain systems that will facilitate and optimize the processes that are crucial to a thriving development operation. This person will work cross-functionally with the team and report directly to the Vice President, Operations, to achieve the following strategic objectives:
● Build and maintain processes for a best-in-class experience for trustees and other donors.
● Project manage complex and cross-functional trustee events and initiatives.
● Oversee systems for prospecting, research, and pipeline development, such as Salesforce.
● Maintain content and data for development materials and grant reports, in partnership with our Communication colleagues.
● Operate with warmth and professionalism, bringing a relational approach to all aspects of the work.
Core Responsibilities
Donor Operations
● Act as the friendly and responsive primary point of contact for general administrative inquiries related to development, ensuring clear, timely, and relationship-centered communication
● Manage all administrative aspects of trustee engagement, including email communications and calendaring with care and attention to detail, including warm and well-timed communications and thoughtful calendaring
● Manage and update the internal donor management system (Salesforce) and ensure all prospective and current donor details are accurately recorded in the donor database
Event Management
● Develop project plans, timelines, and budgets for trustee and funder focused events, with a focus on our annual Trustee Retreat
● Manage project execution for trustee and funder focused events
● Collaborate with stakeholders across Pillars departments and stakeholder groups
● Communicate project updates and reports to relevant stakeholders, keeping them informed on the progress of initiatives
● Maintain guest lists, gather and prepare registration materials, and complete other duties as assigned for Pillars' strategic convenings and fundraising events
● Act as the primary point of contact for event management with vendors
Data Analytics and Systems Development
● Utilize and oversee trustee gift processing systems like SoapBox Engage and donor advised fund partnerships
● Develop fundraising forecasts to create transparency and foster informed decision-making for leadership
● Enhance and maintain a tool for pipeline management to ensure accurate data for forecasting and planning
● Maintain donor databases and contact information for trustees, institutional partners, individual donors, and prospective donors
● Improve analytical reporting on donor data that allows for simplified share outs to various stakeholders
● Create a plan for and execute regular data integrity checks
● Work closely with the leadership team to understand key business needs and help develop appropriate business processes within our existing systems
● Create and implement tools to track engagement with trustees
Grant Management Support
● Track and retrieve relevant grant documents, reports, and deadlines
● Compile and organize impact metrics, financials, or program outcomes for reports
● Organize, proofread and format written organization updates, reports, newsletters, and email campaigns
● Facilitate smooth communication between the Programs team and development initiatives
Additional responsibilities might include supporting project management and team-wide events.

● Ability and willingness to effectively apply a social justice framework at every stage of planning and execution
● Strong written and verbal communication skills, including the ability to cater messages different stakeholder groups via diverse formats and synthesize complex information for multiple audiences
● Highly organized and able to track and manage multiple projects simultaneously, including the ability to prioritize work projects and meet deadlines
● Experience and deep interest in managing complex, cross-functional events
● Exceptional attentiveness to detail and strong proficiency with data collection, review, analysis, and reporting
● Strong proficiency with the use of software platforms and high degree of comfort with multiple technology applications, including Google Suite and basic databases, and ability to swiftly learn other systems
● Excellent interpersonal skills and ability to demonstrate discretion, empathy, cultural competency, and joy to relate to and work with various partners and stakeholders effectively

The salary range begins at $90,000 and will be commensurate with experience.
Location
Our staff is working primarily remotely with limited in-person meetings and events. This role will need to be able to travel periodically within the United States for events and team retreats (estimated 4-8 times per year).
