As the Operations Associate at Renaissance Philanthropy, you’ll serve as a central operational support for both team coordination and executive assistance. The associate will manage internal systems and logistics, including project tracking (especially via Airtable), HR support, IT support, and coordinating team events. Additionally, the role supports executive operations, including calendar and travel management, strategic scheduling, communications, and liaising with key stakeholders. The ideal candidate is organized, proactive, tech-savvy (especially with Airtable), and capable of handling sensitive matters with discretion. This position is integral to ensuring smooth day-to-day operations and enabling alignment across the organization.
This position is remote, with a slight preference for candidates able to work hybrid 2-3 days in office in New York or D.C. The salary band for this role is $90,000-$135,000 in the United States.
Roles and Responsibilities:
Team & Project Coordination
- Serve as the operational hub for internal coordination, including maintaining shared team rituals such as weekly meetings with agendas, action item tracking, and follow-through
- Establish and maintain robust internal systems for project tracking (e.g., Airtable), ensuring visibility into deliverables, owners, and timelines across workstreams
- Additionally support Program teams with project tracking set up and during times when additional capacity is needed, e.g. during events or launches
- Own maintenance and improvement of our operational systems; the ability to configure Airtable is a huge plus.
- Manage team operations logistics including onboarding/offboarding coordination, tech stack provisioning, compliance tasks, and upkeep of HR and access systems
- Serve as primary liaison with IT support partners, managing incoming helpdesk-style requests from team members related to tech stack access, troubleshooting, and security protocols
- With the operation team, coordinate team-wide events and special projects, including retreats, offsites, virtual gatherings, and learning sessions
- With the Operations Manager, collaborate on budget and vendor oversight, including invoice tracking, purchase orders, and liaison with finance for smooth operations
- Support recruitment operations in partnership with hiring leads, managing pipelines, interview scheduling, and feedback processes
- Foster team culture by shaping processes that strengthen internal communication, collaboration, and shared ownership
- Support benefits-related tracking (e.g., DCFSA submissions, additional child care benefit submissions)
Executive Operations & Strategic Support
- Manage day-to-day administrative operations for the President & CEO with efficiency and foresight; liaise with their administrative assistant on a regular basis to ensure coordination and success
- Where appropriate, coordinate and prepare for high-level meetings, including materials, agendas, and post-meeting follow-ups
- Serve as a point of contact for the President and CEO for urgent or sensitive requests that require swift and accurate resolution. Be responsive to emails/texts/phone calls, with contact occasionally outside normal business hours
- With the Partnerships Senior Manager, draft high-quality, professional correspondence on behalf of the CEO, including partner communications, outreach emails, event invitations, and internal updates
- Support the Partnerships Senior Manager to track ongoing conversations, follow-ups, and strategic opportunities to ensure continuity and timely action
- Prepare briefing documents and communications for upcoming meetings, events, and trips

If you are successful in this role, in three years’ time, you will be known for managing priorities, relationships, and operations with clarity and precision. You will have built strong systems that streamline workflows, enhance team coordination, and ensure consistent follow-through on strategic initiatives. Your collaboration across teams will have strengthened internal alignment and increased the executive office’s capacity to focus on high-impact work. Ultimately, your contributions will have established you as a reliable force driving the organization’s growing impact.
Key Qualifications:
- 2+ years of experience in an administrative or operations role reporting directly to upper management
- Excellent written and verbal communication skills
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Fluency with office productivity tools and an aptitude for learning new software and systems (G-Suite, Word, Excel, PowerPoint, Zoom, Airtable, Slack etc.)
- Flexible team player, ability to swiftly shift gears in a fast-paced setting
- Ability to maintain confidentiality of information related to the organization and its team members
- Willingness to work flexible hours
