Employment Type: Part-time: 100 hours/ month; Independent Contractor – 6 month initial engagement with 3 month probation period and the possibility to extend the agreement for a longer period upon performance review and funding availability
Remuneration: 3500 - 3700 USD per month

Position Overview
The Operations Lead will be a strategic and operational powerhouse—working hand-in-hand with the CEO and Director of Finance to build the systems, infrastructure, and culture Vitala needs to scale effectively and sustainably. This is a rare opportunity to co-lead a rapidly growing, globally distributed organization committed to impact, innovation, and care.
We are looking for a seasoned leader with deep operational expertise and a strong people-first ethos—someone who can architect and drive operational excellence while fostering a high-performing, inclusive, and resilient team culture. This role requires both strategic vision and hands-on execution, with the ability to zoom out to see the big picture while implementing the details that bring that vision to life.
Key Responsibilities
Operational Leadership & Scalability
- Design and lead the implementation of scalable operational strategies that align with our organizational mission and goals.
- Conduct a full audit of current systems and processes; identify and lead improvements across all operational domains (HR, project management, compliance, etc.).
- Build streamlined workflows, tools, and platforms that support collaboration, transparency, and accountability across a global remote team.
- Support the CEO in executing strategic priorities, operationalizing long-term vision, and aligning cross-functional operations.
People & Culture
- Oversee the People and Culture lead on HR strategy and operations, including onboarding, team development, compensation benchmarking, and performance management.
- Advise and consult on strategies led by People and Culture Lead and best practices for cultivating a value-aligned, inclusive remote work culture reflective of Vitala's mission and vision.
- Identify and provide guidance on the needs for professional development, leadership support and growth, team cohesion, and capacity-building across the organization.
Compliance, Risk & Governance
- Oversee operational compliance and risk management across jurisdictions—primarily in Canada, with emerging considerations globally.
- Partner with legal and regulatory advisors to ensure compliance with nonprofit, labor, and data privacy regulations across all regions.
- Establish protocols and documentation for ethical, legal, and financial risk mitigation.
Program & Project Enablement
- Partner with program leads to align operations with programmatic goals, timelines, and delivery standards.
- Ensure infrastructure supports the effective execution and monitoring of all programs.
- Develop KPIs and feedback loops to measure and improve operational support to programs.
Cross-Functional Leadership
- Collaborate with the Director of Finance to align financial planning with operational capacity and strategy.
- Serve as a key thought partner to the CEO, providing insight, foresight, and hands-on support.
- Build bridges across departments and time zones to foster cohesion, information flow, and shared accountability.
Who You Are (Qualifications & Mindset)
- Experienced Operator: 7+ years in operations, organizational leadership, or program delivery—preferably in nonprofit, humanitarian, or global health spaces.
- Systems Builder: Demonstrated experience architecting and scaling internal systems, tools, and workflows to support growth.
- Culture Champion: Skilled in people management, remote work culture, and building inclusive, psychologically safe environments.
- Globally Fluent: Experience working with remote, diverse, and cross-cultural teams. Bilingual in English and Spanish required.
- Strategic + Tactical: Equally comfortable with high-level planning and hands-on execution. Able to move seamlessly between strategy and implementation.
- Mission-Aligned: Deeply committed to reproductive justice, health equity, and digital inclusion.
- Relationship-Driven: Strong interpersonal, communication, and conflict resolution skills. Able to build trust and alignment across geographies.
Essential Skills for a Director of Operations
Strategic Systems Thinking Ability to assess, design, and implement systems that align with organizational vision and support scalable, cross-functional growth.
Operational Excellence Deep understanding of operational best practices, workflows, and performance management—particularly within remote and globally distributed teams.
People & Culture Leadership Proven ability to foster an inclusive, values-aligned, high-performing culture through empathetic leadership, coaching, and clear communication.
Project Management Strong ability to manage multiple priorities, teams, and timelines across functions with clarity, accountability, and agility.
Digital Fluency Familiarity with tech tools that support collaboration, remote work, HR systems, and organizational dashboards (e.g. Atlassian, Agile methodology is an asset, Slack, GSuite, AirTable).
Compliance & Risk Management Working knowledge of nonprofit and HR compliance frameworks in international contexts, with ability to anticipate risks and implement mitigation strategies.
Financial & Resource Alignment Ability to work closely with finance teams to align budgets, resource allocation, and operational capacity to strategic goals.
Cross-Cultural Competency Comfort and sensitivity in working across diverse cultural, linguistic, and socio-political contexts.
Adaptability & Resilience Comfortable navigating ambiguity, complexity, and change—especially in fast-moving, mission-driven environments.
Stakeholder Communication Clear, confident communicator who can translate between technical, operational, and executive audiences—internally and externally.
