WHAT IS THE ROLE?
Building For Mission is a growing organization that is continuously creating and improving our systems processes and structures, which will support our team in achieving our mission. BFM seeks to hire an Operations & Projects Manager to provide high-quality support to the Director of Business Development & Operations. This hybrid role combines project coordination and hands-on execution across business development, internal operations, and client systems. It is ideal for someone who is energized by structure, eager to learn new tools, and capable of managing multiple priorities in a remote, fast-paced environment.
With direction and partnership from the Director, the Operations & Projects Manager will manage key internal projects and operations at BFM in the areas of business development (BD), operations, human resources (HR) and finance. The most essential part of this role is to oversee a portfolio of operations projects that include but are not limited to working with CEO, Director & team to execute BFM's BD strategy, knowledge management, team (mtg & retreat) engagement, and effective integration of software tools. A successful candidate is an individual who is a strong project manager, communicator (written and live), and relationship builder with the ability to drive their own work. This person will be skilled in the ability to manage multiple diverse projects simultaneously, facilitate effective meetings, and conduct high-level research to support recommendations to updated procedures/vendors/ and/or practices. This role is critical to building the foundation of engaging & effective virtual systems and structures within BFM, and this role has high growth potential as BFM grows and evolves. The Operations & Projects Manager will report to the Director and also collaborate closely with the CEO, Executive Assistant & others on the BFM team.

We are looking for someone who can commit 15-25 hours a week (compensation: $35-$50 per hour). We are flexible to adjust the scope to stay within the hours agreed to. We do need the individual to work at least 3-5 hours each day of the work week.
Business Development + Finance (35-50%) ● Attend (2-4) BD meetings a week/as needed and participate in client lifecycle from the start of BD meetings to signed agreements at the end ● Manage client contracts process ● Create a library of proposal templates for commonly used SOWs ● Maintain and organize BD drive folders and template libraries ● Format, track, and support the creation of proposals and past performance references ● Conduct weekly RFP/RFI/solicitation searches and log viable opportunities ● Manage client life cycle from creating contracts, to set up in Quickbooks + Resource Tool, to invoice creation, tracking, and billing ● Partner with Director to maintain client portfolio (BD pipeline/RFPs/Meetings) ● Oversee Compliance & Business Registrations (Sam, WOSB, SWAM, State Registration, etc) ● Project Manage the development and execution of BFM's BD strategy ● Ensure 100% accuracy and be back-up for client invoicing, accounts payable, support payroll, and online services
General Operations (25-35%) ● Maintain responsibility for smooth business operations ● Serves as the team's main point of contact for all things operations at BFM (access to systems, login's, etc) ● Set-up new clients and projects in Project Management tool (Accelo) ● Create and manage operations project plans – including goals, timeline, clearly defined roles, and stakeholder engagement ● Organize internal documents, SOPs, and project folders ● Coordinate calendar reminders for compliance, registrations, and certifications ● Document project closeout checklists and update team operations tracker ● Gather learnings about systems and protocols from past projects and deep knowledge of BFM systems to plan for future needs ● Closeout projects and capture and implement learnings for future application ● Manage platforms, namely Google Drive and Dropbox, for strong internal and external knowledge management ● Manage Predictive Index contracts and administration ● Identify special projects that will increase the effectiveness and efficiency of business operations, in collaboration with Director+ leadership team ● Support team meeting, gatherings, and retreat logistics ● Manage outsourced support (people & projects) in Finance, HR, Ops as needed.
Human Resources (10-15%) ● Lead onboarding and offboarding process of new staff and contractors ● Research and develop policies and procedures as needed ● Maintain and build relationships with contractors ● Liaise with Benefits companies, outsourced HR and finance contractors ● Manage updates and make edits to employee handbook as needed ● Manage effective recruitment processes from job posting to hire, as needed
Organizational Stewardship (5-10%) ● Maintain an unparalleled level of confidentiality, responsible discretion and integrity in managing highly sensitive and human-centered information ● Contribute to the organization's strategy and business model developments ● Strengthen culture by modeling collaboration, operating with integrity, demonstrating a strong work ethic, an openness to learn and grow, flexibility and kindness ● Work effectively and creatively in a largely virtual environment ● Draft agenda & manage upcoming topics for weekly team meetings and quarterly retreats

LOCATION: This is a remote position. Residence in the DMV area preferred. While BFM team members are located across the United States and in multiple time zones, this position will be required to work/be available during East Coast hours (9AM ET - 5:00PM ET), given their support role to our CEO. Candidates must be willing to travel for in-person team engagements.
