For us, this means especially two things: human agency is a core part of how AI is built and integrated, and corporate accountability is real and enforced.
About the opportunity
We are seeking a grants manager to provide backfill support to the Outgoing Grants team during a parental leave period from November 2025 through June 2026. The ideal candidate is well-versed in outgoing grants management in a global context and has hands-on experience building, managing, and processing the entire grants application lifecycle through Fluxx.
Work will focus primarily on backend processes with more tech-based, reporting, and systems responsibilities, but may also include additional operational tasks as needed during peak application periods. During this time period, Mozilla Foundation expects to manage at least six global open call and one closed call grant application processes. This position will also be expected to support ongoing platform improvements, including regular data exports from Fluxx to the Foundation's enterprise Salesforce CRM, collaborating with our internal Tech Platforms team and external vendors to facilitate API integrations, and preliminary work towards a platform overhaul in late 2026.
The covered parental leave period will run from approximately mid/late December 2025 through mid-/late June 2026. We anticipate our engagement to begin with the selected candidate by mid-November 2025 to facilitate onboarding and cross-training with the full Outgoing Grants team. Estimated workload is 10-20 hours/week but may occasionally extend up to 25-30 hours/week during peak application times based on organization needs. This is a fully remote role working with a team based primarily in the United States, so preference will be given to candidates whose core working hours will provide sufficient overlap with US time zones.
In this role, you will…
● Manage the entire day-to-day Fluxx workflow for multiple open call grants cycles, including form creation and editing, user training and onboarding, and record updates
● Support system enhancement and optimization projects in partnership with staff teams and vendors
● Create reports and run data exports from Fluxx for internal and external stakeholders
● Provide training and troubleshooting for applicants and grantees
Your professional profile
● At least 5 years of experience in grants management using a grants management software platform
● At least 3 years of grants management experience in an international grantmaking organization
● At least 3 years of admin-level experience with Fluxx, including: ○ Creating, editing, and troubleshooting LOI, grant request, report, and review forms and workflows from existing templates; ○ Creating and managing automatic/workflow-triggered emails; ○ Ability to manage user profiles and roles, including onboarding new internal users; ○ Creating and managing dashboards and dashboard templates; ○ Updating and managing grantee and reviewer portals; ○ Managing high-volume open call application workflows, including advancing records through workflows and bulk updates; and ○ Building and running ad hoc reports.
● Knowledge and experience with Salesforce, setting up APIs, and supporting grants system transitions highly desirable
● Strong organizational skills and attention to detail, with the ability to multi-task, meet deadlines, adjust to changing priorities, and adapt to ambiguity
● Skilled at communicating technical and compliance topics to stakeholders, including peer staff, grant applicants, and/or vendors
● Customer-service mindset and adept at providing troubleshooting to audiences with a wide range of technical knowledge
